Today we're excited to announce we've launched a powerful new feature that will let you know who is downloading your assets, and gives you the ability to approve or deny asset downloads. We're calling this new feature Download Requests, and it's available now for all customers in the Enterprise tier. Before we walk through how this feature works, we wanted to provide some context and discuss why we built it, and what problems we're trying to solve.
Many Lingo customers prefer to share their assets with others by simply making their kits public, however, we've heard this type of sharing can be limiting for a couple of reasons. First, you can't know who is downloading your assets. This is because visitors (people without Lingo accounts) are not listed in Lingo's Insights dashboard. Secondly, because there is no way to learn more about a visitor before they download an asset, public sharing may not work for some customers who are wanting to share assets that are more sensitive, for example a vintage logo with strict usage rights. Download Requests solves both of these problems. Let's dig into how the feature works.
Download requests is a new Kit level access setting that has two separate pieces of functionality.
To turn on download requests for a kit, open the kit's share modal, make sure the kit is set to public and select the new "Enable download requests" ✅. That's it - now all visitors to your kit will need to enter their email address when they attempt to download an asset.
Next, you'll want consider what happens to the visitor after they've provided their email address. This can be done by selecting "Configure" and choosing an option. Each option, with its function is listed below.
Sorry, this video can't be played in this browser.
Download requests can also be set at the workspace level instead of the kit level. This can be done in your brand portal settings. Important to know the settings you configure on your brand portal will apply to every public kit in your portal and will override any kit level settings.
If download requests are set to require admin approval, administrators can view and manage these requests in the new "Requests" tab on the Users page. Here, a table displays the current pending requests, which can be individually approved or denied. Prior to a request being approved, an expiration date can be set, after which the user will be unable to download the requested asset. Once the approval is confirmed, an email will be immediately sent to the user containing a download link. If a request is denied, administrators can choose to send a custom message to the user or to proceed without response.
Administrators can also manage all currently active requests, or view past request history, by changing the table view from "Pending Requests" to "Approved Requests" or "Request History", via the dropdown in the top-right of the table.
We hope download requests help you better understand who is engaging with your content and also to control who can download your content. As always, we’re open to feedback so send it our way if you have any!
Thanks!
