Paradigm Digital Group is a full-scale digital marketing agency that supports trade schools, CDL training programs, and transportation-focused education brands across the United States. They provide everything from website redesign and management, to PPC, social media, content creation, video production, and photography. Their work centers on helping vocational and career-focused institutions attract and engage prospective students.
Paradigm Digital stored creative assets for their agency inside Dropbox. With over 35 years of accumulating assets, they navigated a digital asset collection of more than 57,000 files spread across outdated folders, unlabeled photos, and duplicate content. To provide a stronger digital asset management experience and an easier way to manage clients, they adopted Lingo.
According to Rachel Sabotta, Digital Brand & Design Specialist at Paradigm Digital Group, the team had reached a breaking point.
“Dropbox was a mess. Nothing was displayed well, and we had duplicate content everywhere.”
Because nothing was visual, finding a single photo meant opening folder after folder. Outdated images and incorrect brand colors often slipped into new ads or social posts because no one could immediately tell which version was correct.
Rachel was also fielding constant internal requests from designers, social media managers, and the ad team. Someone needed a hex code. Someone needed a logo. Someone needed a resized image. Each request interrupted her work and slowed down every project dependent on her response.
Clients had also stopped uploading files to Dropbox years ago, so assets arrived through email instead. Files were frequently spread across inboxes, lost in threads, and difficult to track.
Paradigm Digital wasn’t just dealing with disorganization. They were dealing with a system that no longer matched the speed or complexity of agency life.
After evaluating several DAM platforms, Paradigm Digital chose Lingo because it aligned with how an agency actually works. Unlimited kits meant they could create distinct brand portals for each brand they represent, and separate assets by kit for each client.
Rachel began by building out visual brand guideline kits for each client. Visual brand guidelines replaced static PDFs. Image previews let the team identify assets instantly and keep them aligned with the correct brands. When she shared them with the team, the reaction was immediate.
“Everyone loved being able to copy logos, grab hex codes, and download the right files without asking me.”
Rachel has started migrating thousands of photos into Lingo, organizing them by program, campus, and timeline. Once this migration is complete, she’ll adjust naming conventions and metadata for ease of search and clarity. Today, for the first time, Paradigm Digital can differentiate similar images and avoid reusing outdated or incorrect visuals.
Lingo also fits their long-term plan. Once the internal buildout is complete, Paradigm Digital will introduce view-only kits where clients can contribute updated photos without emailing massive files. This will ensure a consistent flow of new and updated assets, as well as keeping assets centralized to a single location versus multiple inboxes and locations.
Before Lingo, asset requests occurred multiple times a week. Now the team accesses accurate, visual brand guidelines and organized kits without disrupting Rachel’s workflow.
“Lingo’s impact on Paradigm Digital has been speed, overall organization, and ease of finding assets” stated Rachel.
The team no longer debates which logo is correct or where a file lives. They simply log into Lingo, locate the correct clients portal, and instantly have access to that clients kits containing brand guidelines, supporting documentation, images, and more.
With clear visual separation between campuses, programs, and timelines, incorrect images are no longer slipping into ads or social posts.
“Some campuses have dirt lots, some have trees, and that detail matters. Now we can label things correctly and avoid mistakes” explains Rachel.
Even early in their rollout, internal confusion and requests for assets is down by at least 50 percent.
One of the bigger problems Paradigm Digital was trying to solve was the lack of visual assets in Dropbox. Consistently searching for assets was becoming a thorn in the productivity at Paradigm Digital, and was a leading factor in seeking out a more productive visual digital asset management system.
Lingo’s drag-and-drop layout and flexible kit structure finally give Paradigm Digital a system built for agency complexity.
“I trusted Rachel to evaluate multiple platforms and recommend the best solution for Paradigm Digital Group” says Deb Rishel, President of Paradigm Digital Group. “A platform that would work for the technical, as well as less technical, employees of the company. If we couldn't get to full adoption, and a single source of truth to manage our digital assets, we would be left with yet one more platform being under utilized and still be in a place of asset chaos.”
“Being able to view everything without loading each file has been incredibly helpful” says Rachel.
The team can mass-delete outdated photos, tag assets by location, and maintain consistent brand guideline templates for every client.
Paradigm Digital is in the early stages of their DAM evolution, but the internal transformation is already clear.
What’s important to keep in mind is that, at the time of this interview, Paradigm Digital is still fully in build mode and their reinvented brand portals have not yet been distributed to their clients. Even so, they’re seeing improvements just from the internal optimizations Lingo has made by switching from Dropbox for their visual assets.
Agencies feel asset strain earlier than most teams. They manage dozens of clients, shifting brand identities, and visual content that ages quickly. When folders break down, everything slows down. Creative teams burn time searching. New hires can’t find anything. Brand errors spread unnoticed.
Paradigm Digital’s experience mirrors what many agencies face. Before external rollout, the first transformation happens internally: cleaning up years of accumulated assets, establishing structure, and giving teams a system that helps them move faster.
As Rachel put it, Lingo gives agencies a foundation they can finally scale.
If your agency is juggling outdated folders, inconsistent visuals, or daily asset requests, Lingo can help you build a system that brings clarity and consistency to your creative workflow.
